1. Information We Collect

LeadFlow AI collects the following types of information:

  • Account information: Name, email address, phone number, business name, and business details you provide during signup and onboarding.
  • Lead data: Information submitted through our dispatcher forms — customer name, phone number, email, service request details, vehicle information, location data, and conversation content.
  • Usage data: Information about how you interact with the platform, including pages visited, features used, and timestamps.
  • Device & log data: IP address, browser type, and operating system when you access the platform.
  • Payment information: Processed by Stripe — we do not store credit card numbers on our servers.

2. How We Use Your Information

We use collected information to:

  • Deliver and improve the lead capture and dispatcher service
  • Send you notifications about new leads, SMS confirmations, and service updates
  • Process payments and manage your subscription
  • Respond to support requests and troubleshoot issues
  • Detect and prevent fraud, abuse, or security violations
  • Comply with legal obligations

3. Data Sharing

We do not sell your personal information to third parties. Information is shared only in these limited circumstances:

  • Service providers: We share data with Stripe (payment processing), Twilio (SMS dispatch), and OpenAI (AI response generation). These providers are contractually obligated to protect your data.
  • Legal compliance: We may disclose information if required by law, court order, or government request.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred as part of that transaction.

4. Data Retention

We retain your information for as long as your account is active and for up to 24 months after account closure. Lead data is retained for 12 months after it is collected, unless you request earlier deletion.

You may request deletion of your data at any time by contacting us at support@polsia.app. We will process deletions within 30 days, subject to any legal hold requirements.

5. Security

We use industry-standard encryption (TLS/HTTPS) for data in transit and encryption at rest for sensitive data. Access to user data is restricted to authorized personnel only. While no system is 100% secure, we continuously monitor and improve our security practices.

If you suspect unauthorized access to your account, notify us immediately at support@polsia.app.

6. Cookies

We use minimal essential cookies only:

  • Session cookies: Required to maintain your login state and protect your account.
  • CSRF tokens: Required to prevent cross-site request forgery.

We do not use advertising cookies, tracking cookies, or third-party analytics cookies. You cannot opt out of essential cookies as they are required for the platform to function.

7. California / CCPA Rights

If you are a California resident, you have the right to:

  • Know what personal information we collect and how it is used
  • Delete your personal information (subject to certain exceptions)
  • Opt out of the sale of your personal information (we do not sell data)
  • Non-discrimination — we will not discriminate against you for exercising your rights

8. GDPR (EU Users)

If you are located in the European Economic Area, you have the following rights under GDPR:

  • Right of access, rectification, erasure, and portability of your data
  • Right to restrict processing
  • Right to object to processing
  • Right to lodge a complaint with your local data protection authority

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised "Last updated" date. We will notify you via email at least 30 days before material changes take effect.
